The Reference Data Custom Fields page lists all the global custom fields entered into the Appia service and lets a System Administrator add or import new ones (Note: only Text fields can be imported). Custom fields can be added for change orders, daily reports, and daily diaries.
To get to the Custom Fields tab:
- From the sidebar, select Reference Data.
- Select the Custom Fields tab.
The Appia service brings you to the Custom Fields page. Here you can add, delete, edit, or import custom field information. For more on importing custom fields, see Access, setup, search, and export reference data.
Add or edit a custom field
Updating a custom field's label or required status has different effects depending on the daily report status and whether the existing field contains data.
If the daily report is in Draft status:

Updating Field Label:
- If the field contains data: A new field is created with the new label, and the old field persists until its data is removed and saved.
- If the field is empty: The existing field's label is updated directly.

Updating to Required:
- If the field contains data: No change.
- If the field is empty: The requirement is enforced when the page is next edited.
- Multiselect - Updating Available Values: Selected values persist, and the list of available options is updated.
If the daily report is in any status other than Draft:
- The Field Label and Required status will not be updated.

Previously entered data will persist.
- Click one of the options on the Custom Fields page: Change Order Custom Fields, Daily Report Custom Fields, or Diary Custom Fields.

From the new page:
- Click Add to create a new custom field, or
- Click on an existing custom field to edit its information.
- Enter or update the custom field information in the appropriate fields.
- Click Save to add the new field or Update to save an edited field.
Click Reference Custom Fields in the navigation trail to return to the Custom Fields page.

Delete a custom field
Deleted custom fields in draft reports retain their functionality if data has already been entered, allowing users to continue editing and updating them for workflow continuity. If data has not been entered, the deleted custom field will be removed from draft reports. If you wish to remove a deleted custom field from draft reports, you must fully remove the data and save. Then, the field will disappear.
- From the Custom Fields tab, navigate to the custom field you want to delete.
- Click the red X icon next to a custom field.
- In the confirmation window, click Ok.
